Xero knows the year. It does not know the job.

Keep Xero. Add the job. Quotes, hours, materials, supplier orders and invoices all belong to the job that spent them — and every night both sides are compared, invoice by invoice, so the numbers never drift apart in silence.

What sits between the job and the ledger

The quote and the invoice live in both places

Kavilo reads your Xero quotes and invoices and writes new ones back. You keep the accounting where your accountant expects it, and the job keeps the detail Xero was never meant to hold.

Both sides are checked every night

A daily job compares what Kavilo shows against what Xero charged, invoice by invoice, and raises an alarm when a cent disagrees. Two systems that never argue is a promise nobody can keep; catching it the next morning is one we can.

Costs the ledger cannot split

Hours from the clock, materials off the van, supplier orders and travel land on the job that spent them. In a chart of accounts they are one big number; here they belong to a job.

Company expenses stay out of the job

Rent, software, a salary — real money, but not the cost of any one job. Kavilo keeps them separate, so a job never looks unprofitable because the office insurance fell on it.

Tax handled line by line

A document that mixes rates adds tax per line instead of dividing the total. The split your accountant claims back is the split that was actually charged.

Retention held and claimed

Hold a percentage back on the invoice, keep it visible as still owed, and claim it when the time comes — without it quietly counting as revenue you never received.

Two systems will disagree. The question is when you find out.

Anyone promising that two systems always match is selling you something. What matters is how long a difference can hide. Kavilo compares its invoices against Xero every night and raises an alarm with both amounts — so a mismatch is a message the next morning, not a discovery at year end.

Questions people actually ask

Does Kavilo replace Xero?

No. Xero stays your accounting system. Kavilo is the layer in front of it, where the job lives: what was quoted, what it cost, what was invoiced and what is still owed.

What happens if the numbers stop matching?

A daily check compares every recent invoice on both sides and raises an alarm when they differ, with the invoice number and both amounts. You find out the next morning instead of at the end of the year.

Can I invoice without Xero?

Yes. Kavilo can issue invoices with its own numbering and send them to the client directly. The Xero connection is optional.

Does it import what I already have?

Yes — existing quotes and invoices can be pulled in and linked to the right job, so history is not lost when you start.

Which currency and tax does it use?

The company's own. The tax rates you configure are the ones applied, and each price says whether the tax is inside it, added on top, or does not apply.
